• Glossaries and vocabulary: glossary terms, vocabulary you create or purchase from the Marketplace
• Learning data: study history, review sessions, Anki exports
• Usage data: access times, features used, device and browser information

2. How We Use Your Data

Your data is used to:

• Provide translation, content analysis, and manga processing services
• Support vocabulary learning and spaced repetition review
• Operate the Marketplace (professional glossary trading)
• Process content through AI technology to generate translations and analyses
• Improve service quality (subject to the Free/Paid tier policy described in section 10)

3. AI Data Processing

Your content is sent to language processing services to perform translation, analysis, and terminology extraction. Specifically:

• Content sent to AI services is not permanently stored by AI providers
• AI-generated results (translations, analyses, glossary terms) belong to you
• We use multiple language processing providers to ensure quality
• AI processing data is transmitted through encrypted channels and only temporarily retained during processing

4. Sensitive Content

Your translation content may contain sensitive information (medical, legal, financial, personal). By uploading content to the platform, you acknowledge that you have the right to process that content and consent to our processing it to provide our services. We recommend that you do not upload personal information of others without their consent.

5. Third-Party Services

We use the following third-party services to operate the platform:

• Authentication service: Manages login, registration, and account security. Only email and authentication data are shared.
• Payment partner (Dodo Payments): Processes secure payment transactions as our official Merchant of Record. Dodo Payments has its own privacy policy at dodopayments.com.
• Cloud storage service: Stores your data, documents, and files on secure servers.
• Language processing services: Provide translation, analysis, and terminology extraction capabilities. Note: data may be processed on servers outside Vietnam.

6. International Data Transfers

To provide our services, your data may be transferred to servers located in other countries for language processing and storage. We commit to:

• Complying with cross-border data transfer requirements under Vietnam's Personal Data Protection Law (PDPL, effective January 1, 2026)
• Complying with the General Data Protection Regulation (GDPR) for users in the European Union
• Applying appropriate safeguards when transferring data outside the territory

7. Data Retention and Security

We apply industry-standard security measures:

• Encryption of data in transit and at rest
• Strict access controls on our systems
• Continuous security monitoring

Retention periods:

• Account data: retained while your account is active
• Project content: retained until you actively delete it
• AI processing data: not permanently retained; only temporarily stored during processing
• After account deletion: data is deleted within 30 days

8. Your Rights

Under Vietnam's Personal Data Protection Law (PDPL) and the GDPR, you have the following rights:

• Right of access: view all personal data we store about you
• Right to rectification: request correction of inaccurate information
• Right to erasure: request deletion of your account and all associated data
• Right to data portability: receive your data in a machine-readable format
• Right to restrict/object: restrict or object to the processing of your data
• Right to withdraw consent: withdraw consent at any time without affecting the lawfulness of prior processing
• Account deletion: you can delete your account directly from account settings or contact [email protected]

We will respond to your request within 30 days.

9. Children's Privacy

The service is not intended for users under 13 years of age (per COPPA) or under 16 years of age (per GDPR for EU users). We do not knowingly collect data from children. If we discover an account belonging to a user below the required age, we will delete the account and associated data immediately.

10. Free vs Paid Tiers

• Free tier: Your content may be used to improve our services after being fully anonymized. No information that could identify you will be used.
• Paid tiers (Pro, Team): Your content is NOT used to improve our services. Data is only processed to deliver results to you.

11. Data Breach Notification

In the event of a data breach affecting your personal information, we will notify you via email within 72 hours of discovery, including information about the scope of impact and remediation measures. We will also notify the relevant authorities as required by law.

12. Cookies

Our website only uses essential cookies to maintain login sessions and ensure normal service operation. We do not use tracking cookies or advertising cookies.

13. Changes to This Policy

We may update this policy from time to time. Significant changes will be notified at least 30 days in advance via email or a notice on the platform. Continued use of the service after changes take effect constitutes acceptance of the updated policy.
